Admissions Process

Let's Get to know each other

First and foremost, we want to get to know your family and your child, and we want you to get to know us! The admission process often begins with a visit to our campus to tour our school and meet our team. After visiting with us, families are encouraged to apply online and set up an on-campus child-centered experience → A Play Day for preschool applicants and Shadow Day’s for kindergarten and up. As you navigate through the process, remember that the admissions team is here to partner with you every step of the way.

Admission Process

Admissions Process for the 2025-2026 School Year

  • Visit HCES, Submit an Application and Required Documents

    An Admissions Checklist will be created upon submission of an online application. Click here to apply. 
    • PK3 - K Application Deadline: December 1, 2025, for 1st Round Acceptances (notifications will be sent in mid-December).
      • Required documents: birth certificate, social security card, Immunization Record, General Health Form, academic assessments, and student recommendation
      • Participation in a PK Play Day (PK3 & PK4 applicants), or Shadow Day (K applicants)
    • 1st - 8th Grade Applications accepted through Spring 2026
      • Documents submitted: birth certificate, social security card, Immunization Record, General Health Form, report cards, standardized testing, and student recommendations
      • Participation in a Shadow Day
  • Participate in a Play Day or Shadow Day

    An important part of our application process for applicants is their participation in either a Play Day (PK3 & PK4 applicants) or a Shadow Day (kindergarten - 8th grade applicants).

    Play Day Overview: The Play Day is a small-group event from 3:15 pm - 5:00 pm that allows applicants to meet new friends, play in our classrooms, and interact with our teachers.

    Shadow Day Overview: The Shadow Day allows applicants to meet new friends and experience how we "do school" at Holy Comforter. Our teachers take time to get to know the applicants individually, and we'll do some low-stress assessments. Shadow Days are scheduled on Monday - Thursday, 8:00 am - 11:45 am for kindergarten applicants, 8:00 am - 2:45 pm for 1st-5th grade applicants, and 7:50 am - 3:05 pm for 6th - 8th grade applicants. 

    Please note, both the Play Day and Shadow Day are drop-off events. If a few tears are shed (by children and/or parents), that's ok! 
     
  • First Round Decision Notifications

    PK3 - Kindergarten applicants will be notified via email on December 18th.

    1st - 8th grade applicants will be notified in the Spring of 2026 after Holy Comforter's Open Enrollment for current families. 
  • Contracts Due for First Round Acceptances

    PK3 - Kindergarten enrollment contracts are due January 6, 2026. Enrollment contracts are digital and will be available via the online portal once you have been accepted.

    1st - 8th grade enrollment contracts are digital and will be available via the online portal once you have been accepted.
  • Second Round Application Deadline

    After Holy Comforter's Open Enrollment closes mid-February, pending space availability, the Admissions Committee will review all qualified applicants and offer acceptances to best complement the composition of the grade level/class. 
    • PK3 - K Waitlisted Applicants & New Applicants (after 12/1/25): 
      • Required documents: birth certificate, social security card, Immunization Record, General Health Form, academic assessments, and student recommendation
      • Participation in a PK Play Day (PK3 & PK4 applicants), or Shadow Day (K applicants)
    • 1st - 8th Grade Applications accepted through Spring 2026
      • Documents submitted: birth certificate, social security card, Immunization Record, General Health Form, report cards, standardized testing, and student recommendations
      • Participation in a Shadow Day
  • Second Round Decision Notifications

    PK3 - 8th grade applicants will be notified via email of an opening and/or acceptance.
  • Contracts Due for Second Round Acceptances

    PK3 - 8th grade enrollment contracts are digital and will be available via the online portal once you have been accepted. Contracts are due within five days of acceptance.
  • Late Spring and Summer Applications

    Late Spring and Summer applications will be evaluated on a rolling basis as spaces become available. Contact Meghan Wilson, Director of Admissions, to find out about space availability across grade levels.
